A prom limo service is one of the few bookings where the passenger, the person who pays and the person who worries are three different people. The student wants the night to feel big. The parent wants to know where the car is and when it will be home. The school wants nobody to arrive late, drunk or unsupervised. A good booking keeps all three groups content, and it starts months before the dance.

This guide treats a prom the way we treat any journey: a timetable, a pickup, a drop-off, and a clear plan for the return. It explains the vehicles, the hourly rates, the cost per student, and the safety rules that matter, with honest comparisons to the cheaper ways of getting there.

When is prom and graduation season in Canada?

Prom and graduation cluster in late spring and June. Ontario's regular school year typically runs from 1 September to 30 June, so most Ontario graduations and proms fall between May and the end of June. Each school sets its own date, and other provinces follow their own calendars, so confirm with your school.

The Ontario Ministry of Education publishes the provincial framework on its school year calendars page. It sets the school year and the main breaks but not the prom date, which is decided by each school or board. In British Columbia, Alberta and Quebec the academic year ends on different schedules, and some schools hold events earlier in the spring. The simplest rule is to book after the school has confirmed its date and venue, and to do it quickly, because the popular Fridays in late May and June go first.

Check the school's rules before you book anything

Schools differ, and the difference matters. Many publish a prom policy that covers guests, dress, behaviour and what happens if a student arrives in a condition the staff are not willing to accept. Some limit the number of outside guests. Some require parents to sign forms. Read the policy, ask the organising teacher what is allowed, and ask whether the school has a view on private vehicles or group transport.

Then pass that information to the booking. A prom limo that arrives at a school gate with the wrong pickup time or the wrong number of students creates problems for everyone. The online booker takes the addresses, times and passenger counts, and the notes field is the right place for anything the school has asked for.

Prom limo service: how the evening usually works

A typical prom evening has four movements.

  1. Pickup and photos. The group gathers at one home, with parents taking photographs, and the car leaves at an agreed time.
  2. Dinner. Some groups eat at a restaurant before the dance, and some eat at home.
  3. The dance. The car drops the group at the venue and leaves, or waits for the return.
  4. After the dance. The group goes home, or to a school-approved event. This is the part of the evening that needs the most planning.

The vehicles are priced by the hour, with a minimum, so the key decision is how many hours you want the car to be yours. A simple pickup, drive and drop-off is a short booking, while a full evening usually runs four to five hours.

Mini-coach / party bus20–30 pax$300–$420 /hr (4 hr)$1,200–$1,680$1,500–$2,100

Every figure excludes tax. Tolls are added when the route uses one, and a gratuity is entirely your choice. The fleet page shows each vehicle, and the rates page has the full card.

For one couple, the sedan or the SUV is quiet and sensible. A friend group of eight to ten fits the stretch limousine. Larger groups usually work out cheaper per head in the Sprinter or the mini-coach, because the hourly price is spread across more seats.

What prom costs per student

The most common objection to a prom limo is cost, and the honest answer is that it depends on how full the vehicle is. Here is the arithmetic for a four-hour evening at the published ranges.

Vehicle4-hour costStudentsCost per student
Stretch limousine$900–$1,2008$112.50–$150
Stretch limousine$900–$1,20010$90–$120
Executive Sprinter$960–$1,18012$80–$98

Mini-coach / party bus$1,200–$1,68020$60–$84
Mini-coach / party bus$1,200–$1,68030$40–$56

Add tax and a gratuity if you choose to leave one. Remember that a full vehicle is cheaper per head, but only if every student is committed. A confirmed headcount with deposits from each family avoids the awkward evening when two couples drop out.

Safe rides: the part that matters most

The reason many parents book a prom car is the ride home. In Ontario, drivers aged 21 or under and anyone with a G1, G2, M1 or M2 licence must have no alcohol and no drugs in their system when driving, and a first offence carries a 7-day immediate licence suspension, an 8-hour education course and a $250 penalty, according to the Ontario impaired driving page. Other provinces have their own rules, but the point is the same everywhere: a young driver who has been drinking is in serious trouble, and a passenger who gets in the car with them shares the danger.

A professional driver removes the question. Nobody has to decide whether a classmate is fit to drive, and nobody has to call a parent at midnight to ask for a pickup. MADD Canada's youth services page covers safety around prom and graduation and is worth reading with your teenager before the night.

Treat the car as a ride, not a party room. Alcohol rules for passengers in vehicles are strict and differ by province, and underage drinking is illegal. The safest plan is none in the car. Say that clearly to the group in advance so that nobody is embarrassed in front of the driver.

Who books, who pays and who gets the details

A parent or guardian booking on behalf of a group is the cleanest model. One person holds the booking, one person gets the driver's contact details, and one person knows the schedule. Collect each family's share in advance and write down the pickup and return addresses for every student.

Share the booking details with the other parents. Tell them the pickup time, the pickup address, the vehicle, and when the car is due back. If the plan changes, tell the booking team as soon as you know. Know the cancellation terms before you collect money from other families.

Photos, drop-off and the school gate

The photo stop is a quiet disaster zone: a park, a river path or a garden is lovely, but it may also have rules about gatherings, tripods or access. Check before you promise a location to the group. At the school or venue, most drop-offs happen at the main entrance, where staff are watching. Ask the school which gate to use, because some schools mark out a particular arrival area for group transport.

Plan the timeline with a margin. An evening that starts fifteen minutes late rarely recovers, and a dance venue that fills with arrivals at once makes a bad first impression. Put the arrival time and the gate in the booking notes.

Gowns, corsages and getting in and out

Prom clothing is not designed for cars. A long dress, a tuxedo jacket and a corsage all behave badly in a tight door frame, so rehearse the entry once before the day. Sit down first, then swing the legs in together. Ask the driver to open the door for each passenger. Hold flowers in the lap, not on the seat, and keep the hem clear of the door before it shuts. These are small things that stop a ruined dress at the first stop.

The luggage allowance matters too. The sedan's allowance of two large bags and two carry-ons is enough for garment bags but not for a full wardrobe change. A group that wants to change shoes, hang a second outfit or carry an overnight bag to an after-event should book the SUV or the stretch limousine and list each bag in the notes.

Convocation and graduation ceremonies

Graduation is not just prom. A ceremony in a convocation hall or a theatre has its own timetable, with rehearsal, robing, a ceremony and a reception afterwards. A sedan or an SUV is a good fit for a graduate and parents. A hired Sprinter handles an extended family. Book the car for the full block, not just the ceremony: parking near a graduation is scarce, and families arriving by car often queue.

For the family dinner afterwards, the hourly structure is the same one used for Mother's Day and Father's Day outings, and the Valentine's Day guide shows a sample evening run-sheet that works for any dinner-and-event night.

After graduation: the airport run

Many graduates leave for a trip within days of the ceremony, and airports are busy at that time. A 35 km run to the airport prices at $165–$195 in a sedan, $205–$245 in a Luxury SUV and $295–$355 in an Executive Sprinter, in about 30 to 45 minutes, before tax. The airport limo page lists the airports we serve, and the Toronto limo service page describes city pickups. Flight tracking is included, so a late departure or early arrival is handled automatically.

If the dance is ten minutes from home and the parents are happy to drive, that is the cheapest answer and a perfectly good one. A chauffeured vehicle becomes worth the money when the group is large, the venue is far, or the ride home needs to be dependable.

Booking early, and what to have ready

Popular late-May and June Fridays go quickly. Book as soon as the school confirms the date, and keep the confirmation. Before you book, collect the school name and address, the venue, the pickup address and time for each student, the number of students, and the name and phone number of the adult responsible. After the booking, share the plan with the other parents, and keep the school's rules in view.

Frequently asked questions

When should we book a prom limo?

As soon as the school confirms the date and the venue. Late-May and June Fridays are the most popular, and the larger vehicles are the first to be taken.

How much does a prom limo cost per person?

For a four-hour stretch limousine at $900–$1,200, the cost is $90–$120 per student with 10 passengers. A mini-coach at $1,200–$1,680 works out to $40–$56 per student with 30 passengers. These are before tax and gratuity.

What size vehicle do we need?

An Executive Sedan seats 3, a Luxury SUV seats 6, a stretch limousine seats 8 to 10, an Executive Sprinter seats 12 to 14, and a mini-coach seats 20 to 30. Count dates, friends and anyone who may join at the last minute.

Can students drink in the limo?

Underage drinking is illegal, and provincial rules on alcohol in vehicles are strict. The safest plan is no alcohol in the car, and the group should agree on that before the evening.

Why not let a friend drive?

Drivers aged 21 or under and novice drivers in Ontario must have no alcohol and no drugs in their system, and the penalties for a first offence include a 7-day licence suspension. A professional driver removes the risk.

Do we need the school's permission to use a limousine?

Check the school's prom policy. Some schools have rules about transport or guests, and the organising teacher can answer the question quickly.

How far ahead do we need to know the schedule?

Have the pickup times, addresses and student count ready when you book. The booker needs a starting plan to price the evening, and you can refine it as the school confirms details.

Can the car take graduates to the airport afterwards?

Yes. A 35 km run to the airport is $165–$195 in a sedan, $205–$245 in an SUV and $295–$355 in an Executive Sprinter, and flight tracking is included.
